Recurring Income and Expenses

This screen is accessed from the button on the main screen.

Screen Layout
This screen is used set up recurring income and expense entries for future posting. The screen is laid out in four sections:
  • Recurring Setup. This controls the recurring entries' schedules.
  • Due Today: Shows the entires that are due today.
  • Past Due: Shows the entries that are past due.
  • Upcoming: Shows the entries that are upcoming.

    Recurring Setup
    This is where you define your recurring entries. Before setting up a recurring entry, you need to know how they work:
  • Recurring entries do NOT post themselves automatically. You must return to this screen and post them.
  • Recurring entries may be set up as weekly, bi-weekly, semi-monthly, monthly, bi-monthly, quarterly, semi-annually, and annually. If you need any other frequency, please contact Support to see if it is possible.
  • Recurring entries will be posted on the day which they are due, even if the actual transaction was on a different day.
  • Each of the grids uses the scheduled due date in order to determine if the entry has been made. An entry made on a different day will show up in the grid as not being made.

    Recurring entries differ from Automated Entries in two ways:
  • Recurring entries are set up on a periodic schedule, which may be other then Monthly. Automated entries are monthly entries.
  • Recurring entries expect the entry to be posted on the recurring date calculated or it will not be considered as being made. Automated entries will be recognized as being posted if there is one made at any time in the current month beign viewed.

    Use the + button to add a new recurring entry. You will be taken to an input screen that looks and acts like the add/edit income or expense screen. The main difference is the addition of the Frequency and Start Date fields in order to control when entires are due. You may specify either a recurring income or recurring expense. If you are specifying a recurring income entry, you must already have defined the category as income. (By default, all new categories are treated as expenses.) Income categories may be created via Category Maintenance.

    NOTE: Recurring entries MUST have a Description specified. Without a description, an entry will show up in the Past Due grid even though you posted it.

    Once a recurring entry has been set up and saved, you will immediately see entries in the other grids.

    Use the button to delete a recurring entry. No entries which have already been posted will be affected. You are just deleting the recurring setup record.

    Use the button to edit the selected setup record.

    Due Today
    This grid shows you the entries that are due today. If an entry in the grid is highlighted as yellow, then it is telling you that an entry has been posted for this category and description, but for a different amount than is set up.

    NOTE: The program will look plus or minus four days from the due date in order to determine if an entry has indeed been posted. Anything outside of that day range will not be considered.

    To post the entries listed in the grid, you must first mark them (with a check in each box in the left column). Use the Mark All button to speed up this task. Then press the Post Marked Entries button to post them. You will be asked for confirmation and then told how many were posted. Once posted, they will be removed from the grid.

    Entries are posted on the day which they are due. Any entry that has been posted may be altered from the Income and Expenes main screen.

    Past Due
    This grid will show entries which have not been posted on their due day. The "look back" number of days is shown above the grid and you may change this number. If an entry in the grid is highlighted as yellow, then it is telling you that an entry has been posted for this category and description, but for a different amount than is set up.

    Posting entries is identical to the Due Today grid.

    Upcoming
    This grid will show entries which have not yet been posted and are not yet due. The "look forward" number of days is shown above the grid and you may change this number. If an entry in the grid is highlighted as yellow, then it is telling you that an entry has been posted for this category and description, but for a different amount than is set up.

    Posting entries is identical to the Due Today grid.
